1. Information We Collect
When you use TaskZenith, we collect the following types of information:
- Account Information: Your email address, name, and profile picture (if using Google Sign-In).
- Onboarding & Profile Data: Age and gender (both optional), your declared work/study hours, your declared sleep schedule, and your selected interests. This data is what lets the AI avoid scheduling tasks during your rest or work hours.
- Task & Schedule Data: Your objectives, micro-tasks, due dates, recurrence settings, and the reasons you give when a task is missed and rescheduled.
- Usage Data & Analytics: We use PostHog to collect telemetry, product-usage events, and — where enabled — session replay, to help us understand and improve the onboarding and overall experience. See "Cookies & Tracking Technologies" below.
- Billing Information: If you subscribe to a paid plan, payment details (card number, billing address) are collected and processed directly by Stripe, our payment processor — TaskZenith never receives or stores your full card details, only a customer/subscription reference and your plan status.
2. How We Use Your Information — Data Minimization
We only collect and use your personal information to operate and provide the Service to you. We do not use your data for any purpose unrelated to running TaskZenith, and we do not build advertising profiles about you. Specifically, we use the information we collect to:
- Provide, maintain, and improve our Service.
- Use AI models (Google Gemini) to break objectives into micro-tasks and to intelligently reschedule missed tasks based on your personal routines. Objective/task text and your declared schedule are sent to Google's Generative AI API to generate these suggestions.
- Understand how users interact with the app to fix bugs and improve usability.
- Process subscription payments and manage your plan, where applicable.
- Communicate with you regarding updates, security alerts, and support messages.
- Comply with legal obligations (e.g. billing/tax records).
3. We Do Not Sell Your Personal Information
We do not sell or rent your personal information to third parties, and we do not "share" it (as that term is defined under the California Consumer Privacy Act) for cross-context behavioral advertising. The third-party providers listed below only ever receive the minimum data needed to perform their specific function for us (hosting, AI processing, analytics, or payments) — never to resell or repurpose on their own behalf.
4. Third-Party Services
We utilize third-party services for essential infrastructure, analytics, and billing:
- Firebase / Google Cloud: For hosting, database (Firestore), and authentication.
- Google Generative AI (Gemini): For objective breakdown and task rescheduling. Objective/task text and schedule data are sent to this API to generate suggestions.
- PostHog: For product analytics and, where enabled, session recording.
- Stripe: For payment processing on paid plans. Stripe collects and stores your payment details directly under its own privacy policy — TaskZenith does not process or store full card numbers.
Your data is subject to the privacy policies of these respective third-party providers.
5. Cookies & Tracking Technologies
TaskZenith uses browser local storage for essential functionality (e.g. remembering your theme and language preference) and, via PostHog, cookies/similar technologies for product analytics and — where enabled — session replay. By using the Service you consent to this use as described here; where required by law, we will request your explicit consent before enabling non-essential analytics or replay for your visit.
6. Data Security
We take reasonable measures to help protect your personal information from loss, theft, misuse, and unauthorized access — including per-user access rules enforced at the database level (Firestore security rules), so your data is only ever readable by your own account. However, no internet transmission is completely secure, and we cannot guarantee absolute security.
7. Data Retention
We retain your account and task data only for as long as your account is active and needed to provide the Service. If you request deletion (see "Your Rights" below), we delete your personal data from our production systems within a reasonable time (target: 30 days), except where we are required to retain certain records (e.g. billing records) for legal or accounting purposes.
8. Your Rights
You can update most of your profile and schedule data directly within the app at any time, and you can permanently delete your account and all associated data yourself from Settings → Account → Delete Account — this immediately deletes your objectives, tasks, and profile data, cancels any active subscription, and removes your login. For anything that self-service deletion doesn't cover (e.g. requesting a copy of your data, or a correction), contact us through the Feedback feature in the application or by emailing support@taskzenith.com. Depending on your location, additional rights apply as described below.
8.1 European Economic Area, UK, and Switzerland (GDPR / UK GDPR)
Our legal basis for processing your data is: performance of a contract (to run your account and the core task/scheduling features), consent (e.g. optional analytics/session replay, where applicable), and legitimate interest (e.g. basic security and service-improvement analytics). You have the right to access, rectify, erase, restrict, or port your data, to object to certain processing, and to withdraw consent at any time without affecting prior processing. You also have the right to lodge a complaint with your local data protection supervisory authority.
8.2 California and other U.S. residents (CCPA/CPRA)
The categories of personal information we collect are described in Section 1 above and generally map to: identifiers (email, name), internet/network activity (usage analytics), and other information you provide directly (schedule, tasks, interests). As stated in Section 3, we do not sell or share your personal information for cross-context behavioral advertising, so there is no "opt-out of sale/sharing" needed. We do not use or disclose sensitive personal information for any purpose beyond providing the Service. You have the right to know/access the personal information we hold about you, request its deletion, request correction of inaccurate information, and not be discriminated against for exercising any of these rights. Every AI-generated schedule suggestion is shown to you for review and requires your confirmation before it's applied — we do not make automated decisions about you without your input.
8.3 Canada (PIPEDA / Quebec Law 25)
We collect, use, and disclose your personal information only for the purposes identified in this Policy, based on your consent (implied by creating an account, or express where required). You have the right to access the personal information we hold about you, request corrections, withdraw your consent at any time (subject to legal or contractual restrictions, and understanding this may limit your ability to use the Service), and file a complaint with the Office of the Privacy Commissioner of Canada or, for Quebec residents, the Commission d'accès à l'information du Québec.
9. International Data Transfers
Our infrastructure and service providers (Firebase/Google Cloud, PostHog, Stripe, Google Generative AI) may process and store data outside your country of residence, including in the United States. These providers maintain their own safeguards for international data transfers (such as Standard Contractual Clauses for EEA/UK/Swiss data) under their respective privacy policies.
10. Children's Privacy
TaskZenith is not directed at children and is not intended for use by anyone under 16 years of age (or the minimum age of digital consent in your jurisdiction, if higher). We do not knowingly collect personal information from children under that age.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will update the "Last updated" date above when we do; material changes will be communicated within the app where practical.
